Why your emails land in spam, and how to fix deliverability

You can write the best follow up in the world and it does nothing if it lands in spam. Deliverability is the quiet thing that decides whether any of this works. Here is what matters, without the engineering lecture.

Spam filters are guessing about trust

Inbox providers are trying to answer one question. Do people want this mail? They watch signals to decide, and if the signals look bad, your message goes to the junk folder before a human ever sees it. Good news is the signals are mostly under your control.

The things that get you filtered

  • Sending to dead addresses. A list full of invalid emails is the fastest way to get flagged. Clean the list first, every time.
  • Blasting everyone at once. A thousand identical emails in one minute looks like exactly what it is. Real people do not send that way.
  • No unsubscribe. If people cannot opt out, they hit the spam button instead, and that button hurts you far more.
  • Spammy writing. All caps subject lines, fake urgency, ten exclamation points. Filters are trained on that stuff.
  • Sending from the wrong place. A cheap bulk mail server with no reputation behind it starts you in the hole.

What keeps you in the inbox

  • Verify the list and remove bad addresses before anything goes out.
  • Send from a real business address that has a normal sending history.
  • Space messages out so it looks like a person, not a machine.
  • Write plainly. If it reads like a note from a human, filters treat it like one.
  • Honor every unsubscribe automatically and immediately.

The part most people skip

Set up the technical basics for your domain so providers know the mail is really from you. Your provider calls these SPF, DKIM, and DMARC. You do not need to understand the acronyms. You need them turned on. Done once, they quietly lift everything you send after.

Why this matters for old lists especially

An old list has the most dead addresses, so it is the most likely to hurt your reputation if you send carelessly. That is exactly why the first move in reactivating old leads is cleaning the list. Do that, send like a person, and the inbox stays open.
